Appointments and records
Book and cancel visits, read your prescriptions, case notes, lab results, and bills.
Everything you do at the clinic leaves a trail in your patient portal: the visits you book, the medicines the doctor prescribed, the notes taken during your consultation, your lab values and your bills. This page walks through all of it — from booking a slot to downloading your case sheet as a PDF.
/c/your-clinic/patient/appointmentsThe left sidebar is your map: Dashboard, Appointments, Prescriptions, Medical Records, Lab Results, Billing and My Profile. If your clinic has not switched on the lab or billing modules, Lab Results and Billing simply will not appear in your sidebar — nothing is broken. New to the portal? Your appointment list
Appointments in the sidebar opens My Appointments — every visit you have ever booked at this clinic, newest first. Each card shows the date, the time, Dr. and the doctor's name (or nothing at all if a doctor has not been assigned yet), and a coloured status pill.
- Filter pills — All, Pending, Approved, Completed, Rejected, Cancelled.
- Sort by Date or Sort by Status, with an up/down arrow next to it to flip between oldest-first and newest-first.
- A blue Video pill marks a teleconsultation. No pill means you are expected at the clinic.
- An orange Reschedule Req. pill means you have asked for a new slot and the clinic has not acted on it yet.
- Reason: shows what you wrote when you booked. Click the block to expand it if it was long.
- A red Rejection Reason: block appears when the clinic could not take the booking, with their explanation.
Booking a new appointment
Click the green Book Appointment button at the top right (it just says Book on a phone). The same button lives on your dashboard. The Book New Appointment window opens.
- Appointment Date
- A calendar in
DD/MM/YYYYformat. It must be a future date — you cannot book yourself in for today. - Appointment Time
- A dropdown of half-hour slots from 9:00 AM to 7:30 PM. Picking a slot does not guarantee it: the clinic still has to approve the booking.
- Reason for Visit
- Describe what is troubling you, in at least 10 characters. Anything shorter and the form says Please provide more details (at least 10 characters). The doctor reads this before you walk in, so a sentence beats one word.
- Consultation Type
- Two tiles: In-Person / Visit clinic, or Video Call / From home. Choose Video Call only if your clinic offers teleconsultation.
- 1
Click Book Appointment.
- 2
Pick a date, then a time slot.
- 3
Type your Reason for Visit.
- 4
Click the In-Person or Video Call tile.
- 5
Click Book Appointment in the window.
A message confirms Appointment booked successfully! and the new card appears at the top of your list with a Pending status. You also get a confirmation email.
What each status means
| Status pill | What has happened | What you can do |
|---|---|---|
| Pending | You booked it; the clinic has not confirmed it yet. | Cancel it, or ask to reschedule. |
| Approved | The clinic has confirmed the slot and assigned a doctor. | Cancel, ask to reschedule, or join the video call if it is a teleconsultation. |
| Rescheduled | The clinic moved you to a different date or time. Check the new date on the card. | The same as Approved — cancel, reschedule again, or join the call. |
| Completed | The doctor has finished the consultation and written it up. | Click View Record to read the case sheet. |
| Rejected | The clinic could not take the booking. The reason is shown in a red block on the card. | Book a fresh appointment for another slot. |
| Cancelled | The appointment was called off, by you or by the clinic. | Nothing. Book again if you still need to be seen. |
Completed overrides everything else — once the doctor closes the consultation, the card reads Completed no matter what it said before.
Cancelling an appointment
- 1
Find the appointment and click the red Cancel button.
The button only exists on Pending, Approved and Rescheduled appointments — and it disappears the moment the doctor starts your consultation.
- 2
Read the confirmation window and click Yes, Cancel.
Changed your mind? Click Keep Appointment. Cancelling cannot be undone — you would have to book a new slot.
Asking for a different time
You cannot move an appointment yourself. What you can do is send the clinic a reschedule request: you say when you would rather come, they do the actual moving and the appointment date changes only once they act. The clinic is emailed as soon as you submit.
- 1
Click the orange Reschedule button on the card.
The Request Reschedule window opens.
- 2
Choose Flexible Range or Specific Date & Time.
Flexible Range is selected by default and is the one clinics can act on fastest.
- 3
Flexible: fill in From Date, To Date and a Preferred Time Frame.
The time frames are Any Time, Morning (9am – 12pm), Afternoon (12pm – 5pm) and Evening (5pm – 8pm).
- 4
Specific: fill in Preferred Date and Preferred Time instead.
- 5
Add a Reason (optional) and click Submit Request.
You will see Reschedule request submitted! and an orange Reschedule Req. pill lands on the card.
Joining a video call
A blue Join Video Call button appears on a Video appointment once it is Approved or Rescheduled. It disappears after the consultation is completed.
- 1
Click Join Video Call on the appointment card.
You land in the waiting room for that appointment.
- 2
If it says Waiting for Doctor, stay on the page.
Only the doctor can open the room. The page checks by itself every few seconds and switches over the moment they start.
- 3
When Doctor is Waiting appears, check the Camera & Microphone panel.
If either row says Blocked — how to fix, click it and follow the browser instructions before going any further.
- 4
Click the green Join Video Call button.
You join with your camera and microphone switched off. Use the microphone and camera buttons to turn them on — your browser will ask for permission, and you must click Allow.
- 5
Leave with the red phone button when the consultation is over.
Reading your prescriptions
Prescriptions in the sidebar opens My Prescriptions. Each card is one prescription: the consultation date, a status chip, an RX-00001 reference number, the doctor's name and how many medicines it contains. Click a card to expand it.
A prescription appears here only after the doctor has completed the consultation. If you have just walked out of the clinic and the prescription is not showing, give the doctor a few minutes to close their notes.
| Chip on the prescription | What it means for you |
|---|---|
| Awaiting Dispensing | The pharmacy has your prescription but has not started on it. Nothing to do. |
| Payment Pending | An invoice has been raised and money is owed. An amber Payment Required box appears inside the card with a View Billing button. |
| Ready to Collect | Paid for and waiting at the pharmacy counter. A blue Payment received box confirms it, with a View Invoice button. |
| Dispensed | You have already collected the medicines. A green Dispensed on: box shows the date. |
| Not Available | The pharmacist could not supply the items. Expand the card — each declined medicine carries a Reason: line. |
| Cancelled | The prescription was called off. |
Individual medicines carry their own chips too, so one item can read Not Available while the rest are Dispensed.
Case notes and the case sheet PDF
Medical Records in the sidebar lists every consultation, headed by the diagnosis and stamped with a CONS-00001 number. Click one to expand the doctor's notes in place: Chief Complaints (with Onset and Duration), Diagnosis (Provisional and Final), Vital Signs tiles, Treatment Plan, Follow-up Instructions and Doctor's Notes.
For the complete case sheet — sensations and modalities, past and family history, mental state, physical examination, tongue and pulse, the totality analysis and the prescription with the pharmacist's notes — go to Appointments and click View Record on the completed visit.
- 1
Click Export Case Sheet on any record.
The Export Case Sheet window opens: Select sections to include in the PDF.
- 2
Tick the sections you want.
All eleven start ticked: Patient Information, Consulting Doctor, Chief Complaints, History, Physical & Mental Assessment, Vital Signs, Examination & Findings, Diagnosis, Treatment & Follow-up, Doctor's Notes and Prescription. Use Select All to clear or restore the lot; the counter reads N of 11 selected.
- 3
Click Export PDF.
The button reads Loading theme..., then Generating..., and the file downloads as
CaseSheet_Your_Name_YYYY-MM-DD.pdfcarrying the clinic's logo, name, address and colours.
Lab results
Lab Results lists every test your doctor has ordered for you, each with a LAB-00001 order number, the ordering doctor, the date, how many tests it contains, and a status chip: Pending, Sample Collected, Processing, Completed, Cancelled or External. A red STAT or amber URGENT flag means the doctor asked the lab to hurry. Click an order to open it.
- Each test row shows its name, its code, and the result with its unit. Awaiting result means the lab has not reported it yet.
- Ref: is the normal range for that test. Anything the lab flagged as abnormal is shown in red with a warning triangle.
- Any remark the lab technician added appears under the value.
- Download PDF saves the formatted, clinic-branded report. It only appears once the order is completed, has at least one result, or has a file attached.
- Files under Reports open in a new tab — that includes anything you uploaded yourself.
If the chip says External, the test was done somewhere other than your clinic's own lab, and the clinic is waiting on you for the report.
- 1
Expand the order marked External.
An External Lab Order box explains that the test is performed at an external lab and asks you to upload your report once you receive it.
- 2
Click the green Upload Report button and pick the file.
- 3
Wait for Report uploaded successfully.
The file now sits under Reports, where your doctor can open it.
Bills and invoices
Billing opens My Bills & Invoices. Four cards across the top total up Total Invoices, Pending (with the amount still owed), Paid and Total Billed. Below them, every invoice raised for you — consultation fees, medicines, lab tests — with its date, due date, amount, what is still Due and a status pill.
- Narrow the list with Search by invoice number... or the status dropdown: All Status, Pending, Partial, Paid, Cancelled.
- Status pills read Pending, Partial, Paid, Cancelled or Refunded.
- Click the eye icon in the Actions column — or just tap the card, on a phone — to open the invoice.
The invoice itself shows the clinic's name and address, an Invoice Items table with quantity, unit price, tax and line totals, a Summary panel adding up Subtotal, Discount, Tax, Total, Paid and Balance Due, and a Payment History listing every payment already taken and how it was paid (Cash, Card, UPI, Bank Transfer and so on). The banner at the top is the fastest read: Pending Payment, Partially Paid, Paid, Cancelled or Refunded. Click the green Download PDF button to save it as invoice-<invoice number>.pdf.
Common questions
Why can I not book an appointment for today?+
Bookings must be for a future date. Same-day visits are arranged by the clinic, so phone them directly.
I asked to reschedule two days ago and nothing has changed.+
A reschedule request is a request. Until the clinic moves the appointment, the original date and time still stand — go to that slot, or call the clinic. The orange Reschedule Req. pill on the card means the request is still open.
My prescription is not showing up.+
Prescriptions appear only once the doctor has completed the consultation. If the appointment still reads Approved rather than Completed, the doctor has not closed their notes yet.
Why does the prescription say Medication 1 instead of the medicine name?+
That is intentional. Follow the dosage, frequency and duration shown; ask your doctor if you need to know more.
One of my lab values is red. Should I worry?+
Red means the value falls outside the reference range printed beneath it. It is information for your doctor, not a diagnosis. Raise it at your next consultation, or book one.
I cannot see Lab Results or Billing in my sidebar.+
Those two sections depend on modules your clinic has to switch on. If they are missing, your clinic is not using them — ask the front desk for your report or bill.
Can I delete an appointment I cancelled?+
No. Cancelled appointments stay in your history so that both you and the clinic have a complete record.
