Admin dashboard

Your clinic at a glance: today's numbers, the appointment chart, and quick actions.

The admin dashboard is the first screen you see after signing in, and it is meant to answer one question in five seconds: is my clinic on track today? Four stat cards, a week-at-a-glance chart, the next patient due in, and a full doctor-by-doctor schedule — plus the New appointment button you will press more than any other.

Everything above the fold is read-only except two things: New appointment and the small arrow on each stat card. The heavy work happens further down, in Doctor Schedule Overview.

The greeting changes with the clock in Indian Standard Time — Good morning before noon, Good afternoon until 5 pm, Good evening after that — followed by today's date. Only an admin account can open this page; anyone else is bounced with Access denied. Admin account required.

The top bar

Search patients…
Type at least 2 characters of a name, email or phone number. A dropdown of up to 6 matches appears; click one to jump straight to that patient's profile. See Patients.
The bell
Your notifications, newest first (the last 20). The red badge counts the unread ones and reads 9+ once you pass nine. Open it and click the tick on a notification to mark it read, or Mark all read to clear the badge. If you have never received one it says No notifications yet. More in Notifications.
The circular arrow
Refreshes the dashboard. The numbers are cached for about a minute, so this is the button to press when you have just booked something and want the cards to catch up. A toast confirms Dashboard refreshed!
Your name chip
Shows which account you are signed in as. Logging out is done from Logout at the bottom of the sidebar.

The four stat cards

These are lifetime counts for your clinic, not today's. The big green card is Total appointments; the three white ones break the same pile down by status.

Each card has a small arrow button in its top-right corner. Clicking it opens the full Appointments list — it does not pre-apply a filter, so use the status chips there to narrow it down yourself.

Appointment analytics

The bar chart covers the current week, Sunday to Saturday, one bar per day (S M T W T F S). A bar is tall when a lot of patients are booked in for that date.

  • Busiest day — the darkest bar. The day with the most bookings this week.
  • Today — the mid-green bar, so you can always find where you are in the week.
  • No bookings — a hatched grey bar. Nothing is booked that day.

The bars count every appointment scheduled for that day whatever its status, so a cancelled booking still adds height. View report in the panel header opens Reports, where you can pick a date range and export the numbers.

Up next, quick actions, activity

Up next
The soonest appointment still ahead of you that is pending, approved or rescheduled — patient name, service, and the day and time. Open schedule (or Schedule in the panel header) takes you to Appointments. When there is nothing coming it reads Nothing scheduled.
Quick actions
Four shortcuts: New appointment (opens the booking modal right here), Create invoice, Billing and Inventory. See Invoices and Inventory.
Recent activity
The last 5 appointments booked (not the next 5 to happen), each with the patient's name, the service, the date, the doctor and a coloured status chip. If nobody is assigned yet the line reads Dr. Not assigned. Click any row — or View all — to open Appointments.
Appointment progress
A gauge showing what share of your tracked appointments have actually been consulted: Completed divided by Completed + Confirmed + Pending. The legend underneath repeats those three counts.
Today
The dark card. The big number is how many appointments are booked for today, in any status. View schedule opens Appointments.

Doctor Schedule Overview

The panel at the bottom of the page is the real working view: who is seeing whom, and when. Its subtitle counts what is on screen — {N} appointments across {M} doctors. Cancelled appointments are left out of it entirely.

    Stay on Daily for the swim-lane view.

    One lane per doctor, plus an Unassigned lane whenever a booking has no doctor yet. Hours run left to right, 9 AM to 9 PM by default, and the window widens automatically if someone is booked earlier or later. On today, a red line marks the current time. Two appointments at the same hour sit side by side in the lane.

    Click any block to open the detail strip.

    It shows the patient name and patient number, the status pill, the service and doctor, the start and end time, and a Video flag for teleconsultations. View All opens the Appointments list; Dismiss closes the strip.

    Switch to Monthly for the calendar.

    Every day cell carries its appointment count and status dots. Hover a day to see up to 5 of its appointments (with +N more… beyond that) and click View timeline; or click the day cell itself to drop back into Daily for that date.

    Move around with the arrows.

    The left and right arrows step a day (Daily) or a month (Monthly). Once you have wandered off, a Today or This Month button appears to bring you back. The circular arrow next to them reloads just this panel.

The colour legend across the top of the panel is the status key: Pending, Confirmed, Completed, Rejected, Rescheduled.

Booking an appointment from the dashboard

New appointment — the green button at the top right, and the first quick action — opens the same booking form you get on the Appointments page.

    Choose Existing patient or New patient at the top of the modal.

    Existing patient: search and pick them.

    Type at least 2 characters into Search patient — name, email or phone. Click the person in the dropdown and a green Selected patient box confirms the choice. Change clears it and lets you search again.

    New patient: fill Patient name, Email and Phone.

    Leave Create patient account switched on to give them a login as well as an appointment; switch it off to book the visit only.

    Set the Date and Time.

    The date cannot be in the past.

    Pick the Service.

    General Consultation, Follow-up, Homeopathy Consultation or Wellness Check.

    Optionally choose someone under Assign doctor (optional).

    Leave it on — Leave pending — and the booking waits in your Pending pile for approval later.

    Add Notes / reason for visit, then choose the Consultation mode.

    In-person or Video call. Video needs teleconsultation switched on in Clinic settings; see Teleconsultation.

    If a Consultation type row appears, pick Follow-up or Acute.

    It only shows for patients who have already completed a consultation with you. Everyone else is booked as Chronic. See The patient journey.

    Click Create appointment.

    A toast tells you whether the booking was attached to an existing patient or a new patient account was created. The stat cards refresh by themselves.

The getting-started checklist

The first time you sign in, a welcome card greets you with Welcome to Hello Homeo! and a short tour of what an admin can do. Click Show me the checklist → (or I'll explore on my own) and it steps aside.

The Admin Setup card then sits under the stat cards with a progress bar and a N/8 counter. Its eight steps are: explore your dashboard, add your first doctor, approve an appointment, complete clinic settings, configure billing settings, add an inventory item, view clinic reports, and view patient records. Click Go on a step to jump to that screen and tick it off. A few tick themselves once the underlying thing exists.

The sidebar and the role switcher

The left sidebar is split into Menu (Dashboard, Appointments, Patients, Staff, Billing, Inventory, Reports, Blogs) and General (Pricing, Subscription, Settings, Logout). On a phone it hides behind the menu button in the top-left corner.

If you ticked I also work as a doctor at this clinic (at sign-up, or later on the Account tab of Clinic settings), a dropdown appears at the top of the sidebar reading Admin View. Switch it to Doctor View and you land on the doctor dashboard with the same login — no second account, no second password. Switch back the same way. See Roles and permissions.

Questions

I just booked an appointment but the stat cards have not changed.+

The dashboard numbers are cached for about a minute. Click the circular refresh arrow in the top bar and they will catch up.

The Today card says 0 appointments but I can see bookings in the schedule.+

The Today card counts appointments whose date is today. Anything scheduled for another day shows in the schedule panel — check which date the Doctor Schedule Overview is pointing at and click Today to come back.

Why does a cancelled appointment still show in the weekly chart?+

The weekly bars count every appointment booked for that day regardless of status. The Doctor Schedule Overview is the view that leaves cancelled bookings out.

Where do I approve the pending requests?+

On the Appointments page. Click the arrow on the Pending stat card to get there, then use the green tick on a card to assign a doctor and approve it.

A booking has no doctor on the schedule. Where is it?+

In the Unassigned lane at the bottom of the Daily view. It stays there until someone is assigned to it.
