Reports

Consolidated clinic reports and exports for appointments, patients, revenue, and stock.

Reports is the one screen that puts your appointments, your money and your medicine cupboard side by side. You pick a date range, switch between four tabs, and download whatever you are looking at as a spreadsheet. Nothing here is edited — it is a read-only view of numbers that live in the other modules.

Admin/c/your-clinic/admin/reports

Open it from Reports in the admin sidebar, or from the Reports button in the header of the admin dashboard. The page title reads Reports ModuleFiltered operational, financial, and inventory insights for admin decisions.

The layout never changes: filter card at the top, then four KPI cards that stay on screen whichever tab you are on, then the detail panel for the selected tab.

Set the date range

The filter card at the top holds two date boxes and two buttons. When you land on the page the range is already set to the last one month up to today, and the line next to the buttons tells you what is currently in force — Active: 14/06/2026 to 14/07/2026, for example.

    Pick a Start Date and an End Date.

    Changing the boxes does nothing on its own — the figures on screen are still the old range until you apply.

    Click Apply Filters.

    Both dates are required, and the start date cannot be after the end date; you get an error message if either rule is broken.

    Click Reset to go back to the default last-month window.

    Click Refresh in the page header to re-pull the same range.

    Use this if a colleague has just taken a payment or received stock and you want today's numbers without touching the dates.

The four KPI cards

These four cards sit above the tabs and stay visible on every tab, so you always have the headline numbers in view.

Appointments
Every appointment the clinic has ever taken, with the number still pending underneath.
Revenue (range)
Money actually collected between your two dates, and how many payments made it up. Only completed payments count — a payment that failed, was cancelled or is still pending is not revenue.
Outstanding
The total still owed to you across all unpaid and part-paid invoices, with the number of open invoices underneath.
Stock Value
What the medicines and consumables on your shelves cost you, and how many active inventory items you hold.

Overview tab

The default tab, and the one to open first thing in the morning. It answers two questions: when did the money come in, and what needs chasing.

  • Top Revenue Days — your five best-earning days inside the selected range, drawn as bars so the busiest one is obvious. If you have taken no payments in the range it says No revenue data available for the selected range.
  • Priority Watchlist — three tiles: Outstanding Invoices (₹ still owed), Low Stock Items (how many items are at or below their minimum) and Pending Appointments (bookings nobody has approved yet).

Appointments tab

Four tiles across the top — Total, Pending, Approved, Completed — followed by a Recent Appointments table listing your 10 newest bookings with columns for Patient, Service, Date, Doctor, Mode and Status.

StatusWhat it means
pendingBooked, but no doctor assigned and nobody has approved it yet.
approvedConfirmed and assigned to a doctor.
completedThe consultation has been finished by the doctor.

Cancelled bookings still appear in the Recent Appointments list with their own status; they are simply not counted in the three tiles.

Mode tells you whether it was an in person visit or a teleconsultation. If no doctor has been assigned yet, the Doctor column reads Not assigned. The full, searchable, filterable list lives on the Appointments screen — this tab is a snapshot, not a register.

Billing tab

Three panels. This is also where you land if you follow an old Billing → Reports link — it opens the Reports Module straight onto this tab.

Payment Method Breakdown
How the money in your date range arrived, and how many transactions came in by each route: cash, card, upi, bank transfer, online, cheque or other.
Revenue Timeline
A day-by-day list of collections across the range — useful for spotting a quiet week or a day someone forgot to record payments.
Outstanding Invoices
The invoices you are still owed on, oldest due date first, showing Invoice, Patient, Due, Status and the Outstanding amount in red. Only invoices with status pending or partial appear — draft, paid, cancelled and refunded ones are left out. At most 8 rows are shown here.

Inventory tab

Two panels covering the state of your stock right now. Only active inventory items are counted.

Total Items
How many distinct active items you carry.
Total Units
The sum of every item's current stock — bottles, strips, packs and so on.
Cost Value
What that stock cost you: each item's stock multiplied by its cost price.
Potential Selling Value
What the same stock would bring in at your selling prices. The gap between the two is your potential margin — it is not profit until the stock is dispensed.

Low Stock Summary counts items three ways, and lists the first ten of them with their SKU and reorder level.

Out of StockCurrent stock is zero.
Low StockCurrent stock has fallen to or below its minimum stock.
ReorderCurrent stock has fallen to or below its reorder level.

The three tiles overlap on purpose — an item with zero stock is out of stock, low on stock and due for reorder all at once.

Exporting

The Export CSV button in the page header downloads the tab you are currently looking at — not the whole report. Pick the tab first, then export. The file saves as admin-{tab}-report-{today}.csv, for example admin-billing-report-2026-07-14.csv.

Who can open Reports

Reports is an admin-only screen. Doctors, pharmacists, lab technicians and patients cannot reach it — anyone else who tries is turned away with Access denied. Admin account required. If you both own and practise at the clinic, switch to the Admin portal first. See Roles and permissions.


I changed the dates but the appointment and stock numbers did not move. Is it broken?+

No. Only the revenue figures are filtered by date. Appointment totals, outstanding invoices and stock figures are always shown in full, whatever range you set.

Why is my revenue lower than the invoices I raised this month?+

Revenue counts money received, not money billed, and only payments marked as completed. Unpaid and part-paid invoices sit in the Outstanding card until the patient pays.

Can I get more than the 10 appointments or 8 invoices shown?+

Not from this screen. Use Appointments for the full booking list and Invoices for the full invoice list.

The billing and inventory tabs are empty.+

That usually means the clinic has not raised any invoices or added any inventory items yet. The panels show No payment data found, No outstanding invoices or No low-stock items found rather than an error.
