Billing settings and reports
Tax rates, GSTIN, invoice numbering, payment methods, revenue reports, and the audit log.
Two things sit behind your day-to-day billing: the settings that decide how invoices are numbered and taxed, and the reports and logs that tell you what came in, what's owed, and who changed what.
Billing settings
/c/your-clinic/admin/billing/settingsOpen the billing dashboard and click Settings. There are four cards.
- Invoice Settings
- Invoice Number Prefix (e.g.
INV→ invoices numberedINV-001001upwards), Payment Due Days (a new invoice's due date is its date plus this many days), and an Auto-add Consultation Fee toggle that drops the doctor's fee onto any invoice linked to an appointment. - Tax Settings
- An Enable Tax toggle; when on, a Tax Name (default GST) and a Default Tax Rate (%) (default 18). That rate pre-fills the tax on every new invoice line — you can still change it line by line.
- Payment Methods
- Tick the methods your clinic accepts: Cash, Credit/Debit Card, UPI, Bank Transfer, Cheque, Online Payment Gateway. Only ticked methods appear when recording a payment.
- Default Notes & Terms
- Invoice Notes and Terms & Conditions that are auto-filled onto every new invoice.

Set the fields on each card.

Click Save Settings — a Settings saved successfully message confirms.
Reports
/c/your-clinic/admin/reports · billing tabClicking Reports on the billing dashboard takes you to the clinic's Reports module, on the billing tab. Set a Start Date and End Date and click Apply Filters (the default range is the last month; Reset returns to it).
- Payment Method Breakdown
- How much came in through each method — cash, card, UPI, bank transfer — with the number of transactions and the total for each.
- Revenue Timeline
- Day-by-day collections across the range you chose.
- Outstanding Invoices
- Who still owes money: invoice, patient, due date, status and the outstanding amount.
Click Export CSV to download the figures as a spreadsheet. For appointments, patients and stock reports, see Reports.
The accounting ledger
/c/your-clinic/admin/billing/ledgerThe Accounting Ledger is a running, unchangeable record of every financial transaction — it's built automatically as you invoice, take payments and issue refunds. Four summary cards show Total Debits, Total Credits, Net Balance and Total Entries for the period you set.

Filter by Debit or Credit, set From and To dates, and read the Balance column — the running balance after each entry. Pages show 30 entries at a time.
The audit log
/c/your-clinic/admin/billing/audit-logsThe Audit Logs screen is the complete history of who did what in billing. Every entry records the action (Created, Updated, Deleted or Viewed), what it was, which fields changed, when, the user's name and role, and the IP address they acted from.

Filter by table (Invoices, Payments, Credit Notes, Settings) and by action if you're investigating something specific.

Set the From and To dates to the period in question.

Read each entry to see exactly what changed and who changed it. Use Clear to reset the filters.
